Top 10 Tools to Create More Time for Your Business

July 24, 2017

The last time I checked my phone, it was 3AM. And my to do list was nowhere near done. I loved working for myself but I felt like I never stopped working. Sighing heavily, I sent a text to my friends cancelling our plans for later that day. It was the first time in my entire life that I turned down a shopping trip.

That’s when I knew something had to change.

I needed to take back my life and actually enjoy working from wherever. No more working all hours of the day and night. No more super long to do lists. No more missed shopping trips. I was going to find a way to take my day so I could do more than just work.

It’s Okay to Ask for Help

There’s something about being a virtual assistant that makes us think we have to DIY everything. That’s a problematic mindset. There aren’t enough hours in the day to do everything! And you shouldn’t try to do everything. Trying to do it all leads to burnout, something that will negatively impact all aspects of your life.

So where do you turn for help as a virtual assistant?

Well, that depends on the kind of help you need but I’m going to focus on the different apps you can use to reclaim hours in your day. With these free hours, you can enjoy your life, spend more time with your kids, earn more money for your business, or go shopping!

Keep reading if this sounds like something you’re interested in.

Top 10 Tools Get Back More Hours in Your Day

Your time is worth taking back. I’m glad you’re in a place where you realize that. So I won’t give this any more of an introduction. Let’s jump right in to how you can save time in your day with these 10 tools.

Amazon Prime

Who doesn't love online shopping? No lines, now crowds, and you can shop in your PJs from the comfort of your sofa. What's not to love? You're busy making money and probably don't have the spare time to pick up that charge chord or those office supplies you've been needing.

With Amazon Prime, your items are shipped to you in 2 days. All you have to do is pay one flat rate per year. There are even subscriptions you can sign up for so you don't find yourself running to the store at midnight because you forgot to buy toilet paper.

Brewster

You meet a lot of people and it's easy to lose track of them. Brewster pulls information on people you connect with from multiple platforms. It automatically updates to ensure your information is never out of date. Best of all? It keeps everything in one place so you don't waste time hunting for that one phone number on that one app.

Delivery.com/Instacart/Pea Pod

Most major grocery store offer online ordering and delivery. Some let you pick your groceries online, a store associate will grab them for you, and all you have to do is pick them up. There are even niche sites like Pea Pod, Delivery.com, and Instacart that deliver your groceries to you. Think of all the time you’ll save because you won’t have to find a parking spot!

Fresh20/Blue Apron/Hello Fresh

I'm a foodie but even I will admit, meal prep can be time consuming. And when your to-do list is longer than your arm, you can't really enjoy the process of cooking. But why order takeout (again) when you can steal eat healthy without wasting time?

Fresh20 is a good service for this. You get a list of ingredients, spend an hour on prep, and you have quick meals to throw together for the rest of the week. Because it provides the ingredients and recipes, you don't have to waste time figuring out what to buy or make.

There's also services like Blue Apron and Hello Fresh. They deliver all the ingredients to your door and gourmet recipes for you to make. No shopping or stressing over what to make. Just unload the box and follow the instructions.

IFTTT

If This Then That is a free automation app that uses "recipes" to streamline different online activities. Want to keep a Google spreadsheet of every tweet you're mentioned in? There's a recipe for that. Want to post your Instagram pictures to Twitter? There's a recipe for that, too. They sound like small things but they're time-consuming tasks eating up at your day. And now IFTTT can take care of them for you!

Pocket

I'm always searching for articles to share with you and keeping up to date on the latest trends. But it's so easy to fall down an article rabbit hole if you're not careful. That's where Pocket comes in. You can save articles to Pocket for safe keeping. It even syncs with your phone and desktop so you can pick up where you left off when you have the time. And you can share them through your favorite social media!

Shoeboxed

Depending on where you live, itemizing and proving purchases for your business can be torture. Enter Shoeboxed. Simply scan recipes with your phone. The images will be organized for you and can be easily submitted with your tax return. No more hunting for all those receipts or trying to organize them yourself. Your accountant will be so happy to see these instead of that stack of miscellaneous receipts.

Shyp

Maybe you need to send a thank you gift to a client or a Mothers Day gift. But the post office is not a place you have time for and wrapping gifts is not your specialty. With Shyp, you don't have to worry! Download their app, take a picture of what you want to send, say where it needs to go and when you want to pick it up. Shyp will not only come to you, they will package your items for you, and ship them.

TaskRabbit

You know those tiny errands you've been putting off that need to get done? Here's a site you can go to and scratch those nagging tasks off your to do list. TaskRabbit provides you with pre-vetted and insured workers to stand in line for you, do cleaning, or even shop for you.

Upwork

I talk about Upwork a lot! Some tasks can't be completed with an app. With Upwork, you can hire freelancers to manage your social media, create a website revamp, or develop an app for your business. Outsourcing is one of the best kept secrets for successfully running your own virtual assistant business.

So Now What?

Now that you have these 10 tools, you can start taking back your life. No more wasting time on frivolous tasks. You'll have more hours in the day to focus on what really matters to you. So what are you waiting for? Start using these tools and let me know in the comments which ones work the best for you!
